We are looking for an


 Administrative Assistant (M/F/D)  Main Objective of the mission : Support to the Executive Director and Acting Deputy Director, coordination with the Governing Board

Task :- Assist in managing the activities of the Executive Director ;
- Assist in organization of travels of the Executive Director and Acting Deputy Executive Director ;
- Assist in preparing and submitting mission cost claims ;
- Assist in relations with the institution's Bodies, such as the Governing Board meetings and coordination with the Governing Board members ;
- Welcome desk : welcome visitors to the institution, organize meetings, answer calls and support management of the institution's general inbox ;
- Assist with the preparation and finalization of documents in Word/PPT ;
- Assist with collecting and presenting data in Excel/other formats ;
- Document management (organizing, filing,...).
 Your Profile :- You have a proven knowledge of and experience with the organization and working procedures and tools of the European Institutions ;
- Excellent office management IT tools ;
- Very good organisational skills ;
- You have an excellent written and spoken English (C2) and very good level in another EU (ideally French) language ;- You have a good command of MS office and ARES.
