We are looking for an Assistant Administrative for a European Institution based in Kirchberg:

Interim Administrative Assistant
This a full-time position

Purpose
The Interim Administrative Assistant will provide administrative assistance to the team members of OPS/MM-3 with the objective of contributing to the efficiency and performance of the division’s overall activity.

Operating Network
The Interim Administrative Assistant will work with all members of the Division as well as interface with other Departments and Directorates.

Accountabilities
• Execute standard secretarial tasks (dispatch letters/reports, organizing meetings/video-conferences, etc.)
• Filing of documents (archives, GED...)
• Support MC/Board notes through smart note
• Carry out specific tasks on an ad-hoc basis
Optimisation of operating tools and working methods:
• Keep reporting activities, statistics and work plan up-to-date; monitor that procedures are followed during the whole process; input data throughout the preparation of reports and statistics on the Bank’s activity under initiatives and in countries covered by the Division
Teamwork:
• Cooperate with the other Assistants and members of the Department; contribute to a good working atmosphere within the Division and the Department in order to facilitate the timely implementation of tasks, smooth flow of information and achievement of objectives

Qualifications
• Secondary level education, complemented with a 2-year certification in a relevant field (e.g. secretarial studies, business administration) or secondary level education with equally qualified experience in a relevant field
• At least 3 years of relevant professional experience in providing administrative support
• Excellent knowledge of standard MS Office Tools (Word, Excel, PowerPoint)
• Excellent knowledge of written and spoken English and a good command of French. Any other language will be considered as a strong advantage
