Our client is a Bank – We are looking for a temporary support within the TA department.

 

                       Transfer Agency – Senior Administrator (M/F)

 

 

Main Responsibilities:

 

• Responsibility for daily management and completion of all tasks according to agreed external service levels and internal requirements.

• Ensure offshore team understands and follows the relevant processes, controls, procedures and systems operating within their area.

• Demonstrate initiative regarding queries and escalate to the manager with any problems or concerns as they arise.

• Manage completion of work and tasks according to deadline priorities and checklists are completed the same day.

 

Quality and Risk Control:

 

• On-going assessment of daily operations, ensuring no material errors or audit issues arise by reporting and proactively addressing potential risk areas.

• Deliver weekly and periodic MIS to Manager. Ensure benchmark KPI’s are achieved.

• Act upon the company's standards, corporate policies and departmental procedures and maintain records in an orderly manner, suitable for review.

• Manage internal/ external audit/ compliance reviews and ensure findings are thoroughly investigated and responded to in a timely manner.

• Ensure that reconciliations are reviewed and that potential risk items are escalated to TA Management.  Ensure that exceptions are cleared within 30 days where possible.

 

Project Management:

 

• Act as the representative for the team on business change initiatives, interfacing with the Business change Group, RM, and external parties as required. 

• Understand, identify the impact of new projects to TA.  Escalating issues according to risk and impact.  Ensure project plans received, tracked and relevant action plans are in place to deliver against key milestones.

• Ensure where UAT is required that sufficient resource and test plans are in place.

 

Client Facing:

 

• Act as the representative for the team to interface with Clients as required, ie. Monthly Service Reviews, ad hoc Client Visits. 

• Ensure that any information issued by the teams to the Clients is appropriate, accurate and has been encrypted if required. 

 

Key Skills / Requirements:

 

• Proactive and focused attitude to work and an ability to constantly meet deadlines. Excellent analytical, organizational and time management skills.

• Strong teamwork, interpersonal, oral and written communication skills. 

 

Experience & Qualifications:

 

• Ideally 3 to 5 year experience in Fund Administration/ Financial Services - Transfer Agency preferable experience. 

• Sound technical knowledge of Transfer Agency, Dealing process, Fund Management Notification, AML and KYC, Authentication. 

• Comprehensive knowledge and experience in client and shareholder servicing

• Proficiency in using relevant office systems.

• Sound business English required (any other language is a plus)
