For one of our clients, a EU Institution based in Kirchberg, we are looking for a: 

                                           

                                                Senior Operational Assistant

 

Accountabilities:

 

- Provide administrative assistance in operational processes of the Unit

- Assist with delegation agreements communication coordination activities with internal and external stakeholders

- Help to ensure compliance with contractual commitments under delegation agreements and contracts with internal and external audiences

- Create and manage delegation agreements communications internal and external mailing lists

- Research and collate information, coordinate and disseminate various content to third parties

- Maintain records of activities and outputs under delegation agreement communications, for reporting and audit purposes; manage and update GED/repository delegation agreements folders and other potential data storage platform

-Assist in maintaining regular external and internal communications on delegation agreements  communications outputs

- Provide support on budget issues, reporting and monitoring, as well as on procurement and invoicing procedures

- Arrange and support meetings and missions and assist with travel arrangements

- Perform other related duties as required

 

Qualifications:

 

- Secondary level education, completed with a 2 year certification in a relevant field (secretarial studies, business administration) or secondary level education with equally qualified experience in a relevant field

- At least three years of secretarial/clerical experience

- Complementary education/experience related to communications, public relations, marketing, events are highly valued

- Excellent knowledge of English, a good command of French and other languages

- Motivated, pro-active, well-organised, reliable and willing to work flexibly

- Strong administrative skills and a methodical approach to handling multiple tasks and meeting deadlines

- Organisational, planning and prioritising skills

- Good writing skills and ability to write in concise, error-free English

- Attention to detail

- Ability to work well in a team, but also able to work independently

- Training and experience using MS Word, Excel, PowerPoint and other software such as SharePoint

- High sense of confidentiality, initiative and good judgment

- Ability to work effectively with people of different national and cultural backgrounds
