job description

For one of our clients, a great company located in the city center, we are looking for an
Office & Facilities Officer (m/f)

Responsibilities :

1/ Office & Facilities Management
*Complete management and administration of the workplace, ensuring the smooth running of the office, acting as the key point of contact between Luxembourg office and global headquarters
*Responsible of the Reception staff coordination
*Act as the “go to” person for the office
*Liaise with providers/suppliers, establish relationships and follow up (security, health and safety, catering, insurance, stationary, cleaning, building maintenance)
*Ensure that health & safety and risk assessments procedures are updated and in line with the global policies
*Liaise with global IT department to ensure all local IT needs are met (equipment & software implementation)


2/ HR Tasks
*Support HQ HR department with local onboarding, employment contracts, benefits (health insurance, life insurance, pension fund management, etc) all in line with company’s policy
*Ensure all HR records compliant with local regulation

3/ Finance (local operating budget)
*Management of local bank accounts, responsible for invoice payments to service providers and monthly salaries
*Expense reports & credit card local control

*Collaborate with the local service provider
*Liaise with legal & tax suppliers to ensure tax obligations are met
*Act as point of contact for global finance team and liaise to ensure local needs met

Profile :
Candidates must be fully fluent in English, have a high level of numeracy, dominate the Microsoft Office package (Teams, Zoom, Slack a plus), hold a strong University Degree (ideally business/management related) and hold relevant previous experience in an Office Coordinator/Project Management/Operations role.

The ideal candidate will be extremely responsible and independent.
