                                         Senior Operational Assistant (M/F)



Your role :


As the Senior/Principal Operational Assistant, you will provide a full range of administrative tasks with a view to contributing to the efficiency and performance of the Secretariat Unit’s activity. An advanced knowledge of the Bank's policies and procedures is important to perform the tasks efficiently. The post requires flexibility to work outside core hours when needed.


Your tasks :

- To prepare the agendas for Management Committee meetings and follow-up of the distribution of documents within strict deadlines;

- To ensure that MC procedures and deadlines for submission of notes to the Management Committee are respected by all EIB services;

- To prepare the structure for Management Committee minutes;

- To ensure that the portal is updated for the management of the online agenda;

- To circulate Management Committee meeting minutes for comments, upload and electronic filing of draft and final minutes in GED;

- To prepare weekly reports and notes for distribution to Committee members and Directors General;

- To ensure efficient electronic and paper filing of various documents;

- To handle and process information and documents of a confidential nature and prepare non-routine correspondence;

- To serve as a primary point of contact and deal with diverse telephone and e-mail inquiries;

- To take a proactive approach in suggesting improvements and enhancements to the Secretariat’s processes, participating in associated dedicated projects;

- To perform quality control for the secretarial work providing guidance to colleagues;

- To undertake specific administrative tasks performed by the Unit and other tasks, if required, by other Units in the Division.


Your profile :

- You acquired at least 5 years of relevant secretarial professional experience;

- You obtained at least a certified secondary-level education;

- You speak and write fluently in English (C1) and in French (C1). The knowledge of other EU languages would be considered as an advantage;

- You have a good knowledge of the EIB’s activities;

- You have experience in dealing with sensitive information;

- You have a good knowledge of standard office tools, particularly Word, Excel and PowerPoint as well as an electronic document management system;

- Your experience includes process administration;

- You are flexible and immediatly available;

You are open to obtaining a 6-month-contract.
