Senior/Principal HR Operational Assistant - L&D Project FocusOpportunity Overview
For one of our esteemed clients, a leading international organization, we are actively seeking a highly skilled and proactive (Senior/Principal) HR Operational Assistant.
This project-based assignment is focused on providing essential operational support to the Learning & Development (L&D) Team during a period of expanding strategic program delivery. You will act as a dedicated resource, ensuring the smooth organization and successful roll-out of key leadership and development programs, including cohort coordination and logistics.
Key Role Responsibilities (Accountabilities)
Your expertise will be crucial in executing the operational rhythm of the L&D projects:
Program Delivery Support: Assist L&D Officers in the entire setup and delivery lifecycle of blended learning and talent development programs, in both virtual and in-person environments, utilizing available organizational technologies.
LMS Administration & Reporting: Serve as the administrator for the Learning Management System (LMS), specifically SAP SuccessFactors. This includes accurate data input and updating for learning courses, ensuring meticulous tracking and reporting for project monitoring (enrollment, cancellations, waiting lists, attendance, documentation, room bookings, etc.).
Project Coordination: Organise and coordinate various project elements (e.g., internal networking events, peer learning groups) to successfully achieve defined project milestones and timelines.
External Vendor Management: Coordinate all logistical aspects related to external consultants and trainers for project delivery (invitations, calendar management, access permissions, training rooms, and hotel accommodations).
Process Improvement: Support the implementation of L&D project plans and initiatives, contributing to the optimization of operational processes and working tools to ensure alignment across the organization.
Team Collaboration: Take a cooperative approach within the L&D teams, actively participating as a back-up to other operational assistants to ensure overall project continuity and success.
Operating Network
Reporting to the Head of the Learning & Development Unit, you will collaborate closely with officers and assistants from various L&D teams. This role requires strong liaison and monitoring of communication and logistics with internal services and external vendors to ensure timely and effective project component delivery.
Candidate Profile & QualificationsExperience & Education
Education: Secondary level diploma supplemented by a 2-year certification in a relevant field (e.g., business administration, or learning) OR a secondary level diploma with equivalent, relevant professional experience.
Experience: A minimum of 5 years of experience in an operational or business support position in a relevant field, with a preference for prior experience in project-based assignments.
Essential Skills
Organizational Skills: Proactive approach with excellent organizational abilities and the capacity to handle a broad range of learning project topics and coordinate across multiple teams.
IT Proficiency: Very good knowledge of standard IT & office tools (e.g., PowerPoint, Word, Excel, and Outlook).
Systems Knowledge (Major Advantage): Prior knowledge of, or experience with, databases and systems such as SAP SuccessFactors, Peoplesoft Financials, Oracle, or similar LMS/HRIS platforms.
Language Requirements
English: Very good verbal and written English language skills (essential).
French: A good command of the French language is a considerable advantage.
