For one of the EU Institution, we are currently looking for :
Assistant / Project & Data Management (M/F/D)
Responsibilities:
• Support coordination of meetings and workshops across multiple project teams.

• Maintain project calendars, track deadlines, and follow up on action items.
• Monitor and update activities, timelines, and milestones for 30+ active projects.
• Collect inputs from various stakeholders and maintain accurate records on SharePoint or other collaboration platforms.
• Draft and maintain internal documents, including governance processes and procedures, meeting notes, and periodic status updates. Assist officers and the Head of Unit in preparing presentations, reports, and documentation for Steering Committees and internal audits.
• Track submission of deliverables to ensure adherence to internal timelines and audit requirements.
• Provide day-to-day administrative and coordination support to officers and the Head of Unit.
• Maintain document filing, version control, and recordkeeping systems.
Qualifications:
• Completion of secondary education (high school diploma or equivalent).
• At least three (3) years of experience in an administrative, office support, or coordination role (can include internships or traineeships).
• Basic proficiency in Microsoft Office tools (Word, Excel, PowerPoint, Outlook).
• Familiarity with SharePoint or willingness to learn.
• Experience with project management and/or data management would be an advantage.
• Excellent knowledge of English, both oral and written. Knowledge of other EU languages would be an advantage.
Competencies:
• Ability to manage multiple tasks, follow timelines, and maintain order in documentation and scheduling.
• Proficient in both written and spoken English (minimum C1 level); able to interact professionally with team members and stakeholders.
• Careful and accurate in tracking deadlines, updating records, and preparing documents.
• Willingness to learn new tools and improve processes under guidance.
• Excellent interpersonal skills for dealing with internal and external counterparts;
• Team player.
